Licence Key Migration for Distributors
In 2024 we changed how users get set up on your account. Instead of sending invitations to users, you now purchase licence keys that you distribute.
We're now migrating all your existing users over to Licence Keys. A CSV file that shows the Licence Keys that have been set up, which have been assigned etc. can be downloaded through the Glean Admin Portal (app.glean.co/admin)
Important - This article only applies to our distributors and resellers. If you have an institution account (eg College or University) then this does not apply, and you will still be inviting users in the usual way.

What happens to all our un-assigned seats that we haven't allocated yet?
Any seats that haven't yet been allocated will be converted to Licence Keys. The CSV file will list these as UNUSED
You can start sending those Licences out to users to redeem at https://app.glean.co/redeem
(Please make sure to only send the Licence Key to one specific user)
What happens for Users who have already signed up to Glean?
Users will be silently switched onto a Licence Key, they won't be notified, and nothing will change with their Glean access. This will make it easier for them to renew their subscription once the Licence expires.
The CSV file will list these as REDEEMED
What happens for users who have been invited, but haven't set up their account yet?
The users old invitation will stop working. They will be switched onto a Licence Key and we will send them a new email with a Link to activate that Licence.
The CSV file will list these as ASSIGNED
What do we see in the Admin Portal?
Your Glean Admin portal will show 0/0 for invites remaining (if it doesn’t so already)
Your ‘Users’ tab will only show Admin Users
Under the ‘Licences’ tab, you will see your orders. There will also be a separate ‘order’ shown for the licence keys that were migrated over from the old system.
You can use the Licences Tab to download a CSV showing the individual Licence Keys. Click the three dots to the left of the relevant order to download the CSV.
